Job Overview:
As a Project Engineer specializing in vendor verification and project management support, you will play a vital role in ensuring the smooth operation of construction projects by managing vendor information, issuing necessary documents, and providing administrative support to project managers. Your attention to detail and organizational skills will be critical in maintaining accurate records and facilitating efficient communication between project stakeholders.
Responsibilities:
- Vendor Verification:
- Ensure vendors are current and entered into the accounting and project management software, including verifying EIN, insurance requirements, and other necessary details.
- Letters of Intent (LOIs):
- Issue letters of intent to selected subcontractors on behalf of project management, including initial requests for submittals and tracking their progress.
- Purchase Orders (POs):
- Draft purchase orders for vendors on projects as directed by project managers.
- Subcontracts Management:
- Issue subcontracts for projects using provided scopes from project managers, ensuring accuracy before sending them out for signature.
- Prepare subcontracts and purchase orders in Computerease software and track them until fully executed and filed electronically.
- Document Management:
- Set up and maintain electronic filing systems for each project.
- Update and maintain all sets of drawings, specifications, and logs in coordination with project management.
- Permit Procurement:
- Assist owner/project management team in the procurement of building permits, including preparing and collecting required documents for permit submittal and following through until permit issuance.
- Scan and distribute complete sets of permit documents to relevant parties.
- Meeting Support:
- Prepare meeting minutes for various meetings, including Owner, Architect, Contractor (OAC) meetings, and pre-construction meetings.
- Participate in and document on-site pre-construction meetings and internal pre-construction meetings.
- Reporting:
- Assist project managers in preparing weekly and monthly reports.
- Closeout Procedures:
- Compile and distribute project manuals upon project completion.
- Assist in ensuring completion of warranty requests to the satisfaction of the owner.
- General Support:
- Receive phone calls on behalf of project managers when necessary.
- Assist with pre-construction department tasks when required, such as obtaining hazardous material investigation reports and geotechnical reports.
- Assist in setting up temporary power and project site setup, including ordering dumpsters.
- Keep project status up to date on project status sheets.
Qualifications:
- Computer literacy with proficiency in MS Office Suite and project management software.
- Previous experience in a similar position within the construction industry is preferred.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks across multiple projects.
- Excellent communication and interpersonal skills.
- Understanding of construction processes and terminology is beneficial.
